PURPOSE OF THE UNIT STANDARD 
This Unit Standard is for any learner working in the Public Relations field and for any learner who has the responsibility of arranging events/functions for clients. These events could be Public Relations events or routine events such as meetings and/or workshops and symposiums.

The person credited with this unit standard will be able to:
  • Gather and analyse information to assist event planning.
  • Plan an event.
  • Identify and procure supporting resources needed.
  • Arrange logistical elements of the event.
  • Evaluate the event against client requirements. 

  • LEARNING ASSUMED TO BE IN PLACE AND RECOGNITION OF PRIOR LEARNING 
    It is assumed that learners accessing this Unit standard will be competent in Communications at NQF Level 3. 

    UNIT STANDARD RANGE 
    1. Event/Function to be planned within two weeks and implemented in a month.
    2. Dietry requests include hahlaal, kosher, vegetarian, low cholesterol, etc.

    Gather and analyse information to assist event planning. 

    ASSESSMENT CRITERIA
     

    ASSESSMENT CRITERION 1 
    The purpose of the event is established through discussions with person responsible/client. 

    ASSESSMENT CRITERION 2 
    The target group for the event is established the rough discussion with the responsible person/client. 

    ASSESSMENT CRITERION 3 
    The budget for the event is established to help assist with the format of the event. 

    ASSESSMENT CRITERION 4 
    The preferred format, time, duration and venue for the event is determined from a range of possibilities. 

    ASSESSMENT CRITERION 5 
    Information is summarised and a decision is made about the event, which is confirmed by the client/person responsible. 

    ASSESSMENT CRITERION 6 
    Permission is obtained to proceed with the planning of the event. 

    ASSESSMENT CRITERION 7 
    A schedule of report back actions to explain progress with planning is determined jointly with the client.

    An activity list and a task list are compiled for the organiser to guide event planning. 

    ASSESSMENT CRITERION 2 
    Others involved in the planning are informed of their responsibilities and their roles are confirmed with them. 

    ASSESSMENT CRITERION 3 
    A programme for the event is drawn up and confirmed with the client. 

    ASSESSMENT CRITERION 4 
    An Invitation is designed giving details of date, time, venue, dress and person to whom replies should be sent based on the type of function and the target audience. 

    ASSESSMENT CRITERION 5 
    An Invitation list is compiled according to client request and invitations sent out. 

    ASSESSMENT CRITERION 6 
    People who have not responded by due date are contacted to confirm attendance. 

    SPECIFIC OUTCOME 3 
    Identify and procure supporting resources needed.

    A venue is identified and booked for the function . 

    ASSESSMENT CRITERION 2 
    All people playing a role at the function e.g speakers, welcoming committee, master of ceremonies, barmen, waiters, hosts and hostesses, etc are identified and informed of their role and when they are required to be on duty. 

    ASSESSMENT CRITERION 3 
    A detailed budget is worked out within the global amout allocated for the event. 

    ASSESSMENT CRITERION 4 
    All resources needed are identified and arrangements made for their timely procurement. 
    ASSESSMENT CRITERION RANGE 
    Includes, but is not limited to: decor, equipment, tables and chairs, linen, cutlery, crockery, stationery, gifts, loud speaker system, music, refreshments, parking, stationary, presentation list.

    Arrange logistical elements of the event.

    A Menu is compiled to suit the nature of the event and taking into account any special dietary requirements of guests. 

    ASSESSMENT CRITERION 2 
    Parking arrangements are made to accommodate guests. 

    ASSESSMENT CRITERION 3 
    Accommodatuion is arranged for guests from out of town, if required. 

    ASSESSMENT CRITERION 4 
    Travel arrangements are made for those requiring them. 

    ASSESSMENT CRITERION 5 
    A seating plan is drawn up in terms of prevailing protocol.

    A venue check list is compiled to ensure that all resources are available in time for the function.

    Evaluate the event against client requirements.

    The event is reviewed to determine if anything went wrong and why. 

    ASSESSMENT CRITERION 2 
    Debriefings are conducted with others involved to determine success of function.

    The effectiveness of the event is evaluated against its intended purpose. 

    ASSESSMENT CRITERION 4 
    A report is compiled according to organisation report writing requirements and sent to client commenting on the success of the function and making recommendations for improvements in future, if required. 


    UNIT STANDARD ACCREDITATION AND MODERATION OPTIONS 
    Assessment of this Unit Standard should be contextual and practical.
  • Assessors must be registered as an assessor with the ETQA or an ETQA that represents the sector in which the learner is employed and which has a memorandum of understanding with the services SETA ETQA.
  • Moderators must be registered as assessors with the ETQA, or with an ETQA that has a Memorandum of Understanding with the SETA ETQA.
  • The mechanisms and requirements for moderation should be applied in accordance with the requirements of the relevant ETQA.
  • Assessment should include both formative and summative assessment.
  • Training providers must be accredited by the ETQA or with an ETQA that has a Memorandum of Understanding with the Services SETA ETQA.
