PURPOSE OF THE UNIT STANDARD 
This unit standard will enable officials within any organisation to improve professionalism and enhance the quality of service delivery. A learner acquiring this unit standard will be able to safe-keep face-value documents and stamps.

A person credited with this unit standard is able to:
  • Safe-keep face-value documents and stamps.
  • Administer and manage the handling of face-value documents and stamps in accordance with organisational procedure.
  • Conduct monitoring activities to ensure the continuous safe-keeping and handling of face-value documents and stamps.

    Methods of keeping face-value documents and stamps safe are analysed with examples. 

    ASSESSMENT CRITERION 2 
    Reasons why keys to individual lockers that are used for safe-keeping of face-value documents and stamps are not shared are explained in terms of its influence on integrity and accountability. 

    ASSESSMENT CRITERION 3 
    The implications of sharing keys are critically analysed to reflect its impact on keeping face-value documents and stamps safe. 

    ASSESSMENT CRITERION 4 
    Hand over procedures are explained with reference to the influence on integrity and accountability. 
    ASSESSMENT CRITERION RANGE 
    Hand over procedures also refers to the handing over of keys.

    The handling, controlling and usage of face-value documents and stamps are managed and administered through the maintenance of a control register. 

    ASSESSMENT CRITERION 2 
    The procedures to register and acknowledge or record face-value documents and stamps are explained with examples. 

    ASSESSMENT CRITERION 3 
    Records and reports are generated of any withdrawal, replacement, loss, damage and/or re-issue of face-value documents and stamps to inform follow up actions. 

    ASSESSMENT CRITERION 4 
    Hand over procedures of face-value documents and stamps are explained in accordance with organisational policies and procedure.

    Reasons why regular checks should be completed taking into account the frequency of signatures in registers are explained with examples. 

    ASSESSMENT CRITERION 2 
    Requirements of inspections and monitoring are explained in order to verify and confirm whether irregularities are present. 

    ASSESSMENT CRITERION 3 
    Monthly return on face-value documents is compiled to ensure that there is reconciliation between issuance and usage within a structured scenario.

    Face-value documents include but are not limited to emergency passports, visa and entry stop lists, receipt books.
     

    ASSESSMENT CRITERION 4 
    Reasons why reports are compiled on any irregularities detected is explained in order to inform corrective and/or disciplinary measures. 


    UNIT STANDARD ACCREDITATION AND MODERATION OPTIONS 
    The assessment will be governed by the policies and guidelines of the relevant Education and Training Quality Assuror (ETQA) that has jurisdiction over this field of learning.

    The assessor will (at the very least) be accredited and have a relevant qualification and be a subject matter expert in this learning area and at least have 3 years experience in the skills specific area.

    The learner can be assessed against this unit standard to obtain credits or as part of an integrated assessment for a qualification.
