PURPOSE OF THE UNIT STANDARD 
This unit standard is aimed at individuals involved in the conducting of logistical functions and arrangements as to support events and activities particular to events and an events business. Learners will be able to handle functions specific to the arrangement of venues, catering and related services through the conducting of liaison with a range of suppliers and will furthermore be able to handle and records associated with financial administration for logistical arrangements.

On achievement of this unit standard the learner will understand and be able to:

  • Perform events logistics functions.
  • Maintain records as it applies to the administration of finances in the events business.

    ASSESSMENT CRITERIA
     

    ASSESSMENT CRITERION 1 
    Event logistic functions are explained as it applies to the event business. 
    ASSESSMENT CRITERION RANGE 
    Event logistic functions include arrangement of venues, catering, refreshments and special dietary requirements, accommodation, transportation, decoration, services, agendas or programmes for the event, maintaining of quantitative and qualitative requirements specific to an event.
     

    ASSESSMENT CRITERION 2 
    The maintaining of records as it applies to events coordination functions is explained in terms of standard operational requirements. 
    ASSESSMENT CRITERION RANGE 
    Records include information gathering on suppliers and service organisations as it applies to venues, catering and other event specific services, organisational forms and templates, recording and reporting of logistical arrangements, supplier contracts and agreements, financial support documentation as specified.

    Internal and external approval requirements are described as it relates to the event and events business. 
    ASSESSMENT CRITERION RANGE 
    Approval requirements include levels of authority, approval procedures, internal and external communication channels and requirements.

    ASSESSMENT CRITERIA
     

    ASSESSMENT CRITERION 1 
    The planning of a venue is concluded in terms of the event and organisational requirements. 
    ASSESSMENT CRITERION RANGE 
    Planning includes information gathering on suitable venues, selection of venues according to event needs and specifications, obtaining of quotations, venue approval, bookings, agreements and contracts with the venue, special requirements such as meeting lay-out and equipment requirements.
     

    ASSESSMENT CRITERION 2 
    The planning of catering services is concluded in terms of the event and organisational requirements. 
    ASSESSMENT CRITERION RANGE 
    Planning includes information gathering on suitable suppliers, obtaining of quotations, selection of suppliers according to needs and specifications, menu approval, consideration of special dietary and religious requirements, times of meals and breaks, service bookings, agreements and contracts.
     

    ASSESSMENT CRITERION 3 
    The acquisition of event specific services is concluded in terms of the event and organisational requirements. 
    ASSESSMENT CRITERION RANGE 
    Acquisition includes information gathering on suitable suppliers, selection of suppliers according to needs and specifications, confirmation of quantitative and qualitative requirements, delivery timeframes and specifications or briefs, service bookings, agreements and contracts, hire, loan or purchase arrangements and methods of payment as negotiated. Event specific services may include provision of accommodation and transport/transfer services, décor and decorations, gifts and other material, printing and information packs as per event requirements and the nature of the type of event arranged.
     

    SPECIFIC OUTCOME 3 
    Maintain records as it applies to the administration of finances in the events business. 

    ASSESSMENT CRITERIA
     

    ASSESSMENT CRITERION 1 
    The maintaining of financial records as it applies to events coordination functions is explained in terms of standard operational requirements. 
    ASSESSMENT CRITERION RANGE 
    Financial records include service requisitions, order submission, cost code indication if and where required, invoice verification as per agreements with suppliers, submission of relevant records to financial departments for processing.
     

    ASSESSMENT CRITERION 2 
    Service delivery documentation as it applies to event logistics is assessed against event contract details as to enable the facilitation of financial administration. 

    ASSESSMENT CRITERION 3 
    Documentation and records are completed as to enable conclusion of financial administration. 
    ASSESSMENT CRITERION RANGE 
    Completion includes signatures for authorisation and verification, preparation for submission to the financial department, handling of queries and addressing of discrepancies within personal levels of authority.

  • Anyone assessing an individual against this unit standard must meet the assessor requirements of the relevant ETQA. In particular, such assessors must demonstrate that they assess in terms of the scope and context defined in all the range statements.
