PURPOSE OF THE UNIT STANDARD 
This unit standard is aimed at individuals required to handle the arrangement and administration of events logistics including venue bookings, travel, transport, transfer and accommodation arrangements for delegates and event participants. Individuals meeting the outcomes requirements of this unit standard will be working under supervision and will in particular be involved in support tasks associated with logistical arrangements and the administration thereof for an event. Learners will be able to conduct responsibilities according to a work schedule and maintain required time frames.

On achievement of this unit standard the learner will understand and be able to:
  • Determine logistical requirements applicable to an event.
  • Coordinate logistical arrangements for an event.
  • Perform logistic administration an event.

    ASSESSMENT CRITERION 1 
    The logistical requirements for an event are determined as it applies to the event scope and plan. 
    ASSESSMENT CRITERION RANGE 
    Type of arrangements required, time frames for arrangement, communication requirements, date time and venue for the event.
     

    ASSESSMENT CRITERION 2 
    Special requirements are determined as to enable logistical arrangements applicable to an event. 
    ASSESSMENT CRITERION RANGE 
    Special requirements include but is not limited to:
  • Individual preferences in terms of flights, accommodation, transportation and transfers, Specific dietary needs as impacted on in terms of religious orientation, medical requirements and lifestyle choices such as vegetarianism, Special needs including access for individuals with disabilities.

    Internal communication channels and levels of authorisation are determined as it applies to the logistics arrangements and administration.

    ASSESSMENT CRITERION 1 
    Logistical arrangements for a meeting or event are coordinated according to event and organizational requirements. 
    ASSESSMENT CRITERION RANGE 
    Coordination includes but is not limited to:
  • Range of dates as to establish suitable dates communicated, suitable dates and venues confirmed based on received responses, final venue selection, caterer and menu selection, meeting room lay-out, décor, equipment and stationary, lighting, media including proximas and OHPs, identification of available accommodation.
     

  • ASSESSMENT CRITERION 2 
    Internal and external communication is coordinated as per arrangement requirements. 

    ASSESSMENT CRITERION 3 
    Bookings are concluded according to operational requirements as per own levels of authorisation.

    ASSESSMENT CRITERION 1 
    Record keeping and administrative forms and templates used for recording of logistical arrangements are determined as it applies to the operational requirements. 

    ASSESSMENT CRITERION 2 
    Communication is conducted to ensure effective logistical arrangement coordination. 
    ASSESSMENT CRITERION RANGE 
    Communication includes but is not limited to collating, recording and forwarding of finalized logistical arrangements in hard and electronic copy.
     

    ASSESSMENT CRITERION 3 
    Documentation is distributed and recorded as to enable the maintaining of records relevant to logistical arrangements relevant to event delegates/attendees. 

    ASSESSMENT CRITERION 4 
    Administrative requirements as it applies to the confirmation of logistical arrangements are concluded as per operational requirements and standards. 
    ASSESSMENT CRITERION RANGE 
    Confirmations to delegates, confirmations to service providers, handling of quotations, agreements, financial administration including requisitions, invoicing, payment of deposits.

  • Anyone assessing an individual against this unit standard must meet the assessor requirements of the relevant ETQA. In particular, such assessors must demonstrate that they assess in terms of the scope and context defined in all the range statements.
