PURPOSE OF THE UNIT STANDARD 
This unit standard is intended for people who facilitate meetings in which conflicts are addressed. A learner credited with this standard will be capable of:
  • Preparing for meetings,
  • Conducting meetings,
  • Recording and reporting meeting outcomes,
  • Evaluating meetings. 

  • LEARNING ASSUMED TO BE IN PLACE AND RECOGNITION OF PRIOR LEARNING 
    It is assumed that learners starting to learn towards this unit standard are proficient in Language, Literacy and Communication, including intrapersonal and interpersonal skills, at NQF level 4.

    SPECIFIC OUTCOME 1 
    Prepare for meetings. 

    ASSESSMENT CRITERIA
     

    ASSESSMENT CRITERION 1 
    All background information relevant to the meeting is collated and made available, and all pertinent issues are identified that could have a bearing on the meeting and the meeting outcome. 

    ASSESSMENT CRITERION 2 
    People with an established interest in the meeting are identified and the nature of their contribution is outlined in terms of their potential role. 
    ASSESSMENT CRITERION RANGE 
    Key issues include encouraging and getting parties to commit themselves to participate, dealing with conflicts of interest, interpersonal skills, relationship with parties, impartiality and/or chairing skills.
     

    ASSESSMENT CRITERION 3 
    Administrative tasks are identified and attended to in a manner that ensures effective meetings. 
    ASSESSMENT CRITERION RANGE 
    Administrative tasks include but are not limited to sending notice of meeting, drafting agenda, organising appropriate venue, date, time, documents and facilities.
     

    ASSESSMENT CRITERION 4 
    Strategies dealing with the conflict situation are identified and explained with examples. 

    ASSESSMENT CRITERION 5 
    The role of chairperson is carefully considered and explained in relation to key issues and the meeting at hand.

    ASSESSMENT CRITERION 1 
    The nature, purpose and values of the meeting are established, and general objectives are developed in relation to the purpose. 
    ASSESSMENT CRITERION RANGE 
    The nature, purpose, values and objectives are agreed to by relevant stakeholders where necessary. Confirmed to be within the scope, terms of reference and relevant authority of the facilitator/chair.
     

    ASSESSMENT CRITERION 2 
    Meetings are initiated according to agreed policy and procedure and its purpose is explained clearly. 
    ASSESSMENT CRITERION RANGE 
    Initiation refers to welcoming; introductions, agreeing upon language issues; housekeeping issues; confirming agenda and settling minuting and confidentiality issues.
     

    ASSESSMENT CRITERION 3 
    Meeting rules are applied according to best practice. 
    ASSESSMENT CRITERION RANGE 
    Meeting rules include timekeeping, quorum, speaking order and voting procedures, if appropriate.
     

    ASSESSMENT CRITERION 4 
    Meetings are conducted using effective communication and interpersonal skills. 
    ASSESSMENT CRITERION RANGE 
    Includes suitable respect, empathy, authenticity, integrity and openness, as well as due recognition of emotions, social context, culture, race and gender issues and power and other relationships, and context specific professional values and ethics. Communication skills include active listening, persuasion, questioning, attending, non-verbal communication and paraphrasing.
     

    ASSESSMENT CRITERION 5 
    Meetings are conducted in a manner that facilitates constructive exchange of information between parties and stakeholders. 
    ASSESSMENT CRITERION RANGE 
    Facilitation includes summarising, rephrasing, clarifying, probing, reality testing, consensus-seeking, analysing group dynamics, analysing problems, generating options and problem-solving.
     

    ASSESSMENT CRITERION 6 
    Media and technology are utilised where appropriate and in way that promotes the purpose of the meeting. 

    ASSESSMENT CRITERION 7 
    Meetings are concluded according to agreed procedure and evaluated in terms of meeting the purpose and outcomes of the meeting. 

    SPECIFIC OUTCOME 3 
    Record and report meeting outcomes. 
    OUTCOME RANGE 
    Recording and reporting may not be appropriate for some types of meetings, but learners need to demonstrate the ability to do so where appropriate.

    Meeting outcomes and implications are recorded and communicated in accordance with the authority and responsibilities of the chair.

    The process of arranging and conducting the meeting is evaluated and described in terms of strengths and weaknesses. 

    ASSESSMENT CRITERION 2 
    Recommendations for future meetings are described and address perceived weaknesses, which will contribute to the continuous improvement of arranging and conducting meetings dealing with conflict. 


    UNIT STANDARD ACCREDITATION AND MODERATION OPTIONS 
  • Anyone assessing a learner against this unit standard must be registered as an assessor with the relevant ETQA.
  • Any institution offering learning that will enable achievement of this unit standard must be accredited as a provider through the relevant ETQA by SAQA.
  • Moderation of assessment will be overseen by the relevant ETQA according to the moderation guidelines and the agreed ETQA procedures.
  • Registered assessors must have a qualification in Conflict at NQF level 6 or higher or equivalent.
  • Moderators must be registered as assessors with the relevant ETQA, or with an ETQA that has a Memorandum of Understanding with the relevant ETQA.
