PURPOSE OF THE UNIT STANDARD 
This unit standard is aimed at individuals responsible for the coordination of registration and arrival systems for an event. Learners will be able to monitor and process registration of guests using the appropriate systems and procedures as it applies to the organisation and operational requirements.

On achievement of this unit standard the learner will understand and be able to:
  • Process registrations according to operational requirements and standards.
  • Monitor registrations according to operational requirements and standards.
  • Conduct events registrations.

    ASSESSMENT CRITERIA
     

    ASSESSMENT CRITERION 1 
    The standard operational procedures followed for the processing of registrations are described as it applies to the organisational standards and requirements. 
    ASSESSMENT CRITERION RANGE 
  • Organisational standards include the events plan.
  • Organisational requirements include details of pre-booked sessions, travel and touring arrangements, accommodation details and preparation of events packs for delegates.
     

  • ASSESSMENT CRITERION 2 
    A database is set up according to the requirements for a specific meeting/event. 
    ASSESSMENT CRITERION RANGE 
    Database includes electronic and manual databases.
     

    ASSESSMENT CRITERION 3 
    Registrations are processed in accordance with agreed procedures and timelines. 
    ASSESSMENT CRITERION RANGE 
    Processing includes receiving and recording payments, generating and issuing invoices and credit notes for changed arrangements or cancellations, payment administration and records, special requests, issuing of registration confirmation and distribution of information packs and sponsor advertisements.

    Monitor registrations according to operational requirements and standards.

    ASSESSMENT CRITERION 1 
    The procedure to monitor the number registrations is explained as it applies to colleagues/clients/suppliers needs. 

    ASSESSMENT CRITERION 2 
    The procedure to improve the subscription of delegates is explained in accordance with instructions. 
    ASSESSMENT CRITERION RANGE 
    Procedure can include follow up on RSVP confirmations, forwarding of invitations, and liaison with interested parties.
     

    ASSESSMENT CRITERION 3 
    Registration details are maintained within designated timelines as per organisational requirements.

    Conduct Events registration.

    Registration preparation is explained in terms of the operational requirements and timelines. 
    ASSESSMENT CRITERION RANGE 
    Registration preparation includes nametags and other individual delegate documentation, reports and/or lists as per the agreed style for a specific meeting/event.
     

    ASSESSMENT CRITERION 2 
    The procedure to issue documents and other materials to registered delegates/guests is described in accordance with requirements of the specific meeting/event. 
    ASSESSMENT CRITERION RANGE 
    Materials include all promotional material and events specific information packs and sponsor advertisements.
     

    ASSESSMENT CRITERION 3 
    Events arrival/registration administration is concluded as it applies to operational standards and requirements.

  • Anyone assessing an individual against this unit standard must meet the assessor requirements of the relevant ETQA. In particular, such assessors must demonstrate that they assess in terms of the scope and context defined in all the range statements.
