PURPOSE OF THE UNIT STANDARD 
The person credited with this Unit Standard will be able to create and maintain an effective record keeping system in a business environment. The learner will be able to use this knowledge and skill to provide advice on record keeping systems to the business they are working in

The qualifying learner is capable of:
  • Explaining why companies record and keep information
  • Describing the type of records used in a specific business sector
  • Locating and providing records to users on request
  • Creating a record keeping system
  • Maintaining and updating the record keeping system 

  • LEARNING ASSUMED TO BE IN PLACE AND RECOGNITION OF PRIOR LEARNING 
    It is assumed that learners accessing this qualification are competent in:
  • Computer Literacy at NQF Level 3
  • Mathematical Literacy at NQF Level 4
  • Accountancy and Communications at NQF level 4 or its equivalent

    The reason for recording information is explained with reference to actual documentation used in a business context.

    The type of information contained in records is explained in line with practices in a specific organisation. 

    ASSESSMENT CRITERION 3 
    Methods of creating records using different types of technology are named with examples.

    Describe the type of records that are used in a specific business sector.

    The different types of records used by a specific organisation are identified and explained with examples. 

    ASSESSMENT CRITERION 2 
    Information contained in a contract, agreement or quotation is explained with reference to a named document. 

    ASSESSMENT CRITERION 3 
    The purpose of maintaining a record of contracts, agreements and quotations is described with reference to legislative and organisational requirements. 

    ASSESSMENT CRITERION 4 
    The importance of recording client specific details is known and explained with examples from one's own business sector in line with organisational requirements. 

    ASSESSMENT CRITERION 5 
    The purpose of recording changes to contracts, agreements and quotations is explained with reference to different circumstances and legislative and organisational requirements.

    Required records are located using correct organisational procedures.

    The record retrieval process is specified and followed as per requirements.

    ASSESSMENT CRITERIA
     

    ASSESSMENT CRITERION 1 
    The Requirements of the organisation related to record keeping are determined through research. 

    ASSESSMENT CRITERION 2 
    A record keeping system is created ensuring that it is cost effective, practical and user-friendly. 

    ASSESSMENT CRITERION 3 
    The implementation of the record keeping system is monitored and recommendations made as to amendments which need to be made to aid effectiveness and efficiency of the system.

    Maintain and update the record keeping system. 

    ASSESSMENT CRITERIA
     

    ASSESSMENT CRITERION 1 
    The Record keeping system is monitored and reviewed to comply with company standards and requirements. 

    ASSESSMENT CRITERION 2 
    The record keeping system is updated to meet new developments in the organisation and/or needs of the employees. 

    ASSESSMENT CRITERION 3 
    Problems with the record keeping system are resolved using appropriate techniques or referred to outside agencies who can solve the problem. 


    UNIT STANDARD ACCREDITATION AND MODERATION OPTIONS 
  • An individual wishing to be assessed (including through RPL) against this Unit Standard may apply to an assessment agency, assessor or provider institution accredited by the relevant ETQA, or an ETQA that has a Memorandum of Understanding with the relevant ETQA.
  • Anyone assessing a learner against this Unit Standard must be registered as an assessor with the relevant ETQA, or an ETQA that has a Memorandum of Understanding with the relevant ETQA.
